Timecrumbs for Windows
Automatic time tracking for people who bill their time.Free for 14 days, with every feature. No account and no credit card.
Getting set up
-
Run the installer
It takes about a minute and needs an administrator to approve it. Timecrumbs then starts with Windows, and a clock appears in the system tray. That's the recorder.
-
Add your projects
Type them in, or import a CSV or Excel export from your project management or accounting system. Numbers and names are all it needs.
-
Work as usual
Connect your calendar if you like, then forget about it. Open Timecrumbs at the end of the day and confirm what it suggests.
System requirements
- Windows 10 or Windows 11, 64-bit
- About 120 MB of disk space, plus room for screenshots if you turn them on
- Internet only for calendar sign-in, updates, and license activation
If Windows warns you
Some browsers and Windows SmartScreen are cautious with new downloads. The installer is published by Firmware, LLC, the company that makes Timecrumbs; choose Keep in your browser, then More info and Run anyway if SmartScreen appears.

What's new
2.7.1
- A 14-day free trial with every feature, no account and no credit card. Then an individual license or one for your whole firm, entered in Settings, License, Manage Licenseā¦
- Firm licenses: one key covers everyone at your firm who signs in with a work account at your firm's domain. An admin shares it once, and everyone's Timecrumbs picks it up.
- Firm admins: whoever shares your project list is its admin and can add others. Admins change the shared list, the settings everyone shares, and the firm license; everyone else sees them read-only. Admins also see who uses the shared list, with each person's Timecrumbs version and license, never their time.
- Firm phases: admins set the phases everyone picks from, and can keep everyone to that list.
- Meetings sit in their own lane beside your time entries. Every suggestion and meeting has a check that logs it in one click; click anywhere else on one to change it first.
- QuickBooks Online: send your confirmed time to QuickBooks as time entries for your employee record. Needs a QuickBooks Online plan with time tracking.
- Sharing your project list is easy to find: a button beside the Projects title shows whether it's shared, and helps you join your firm's list or share yours.
- A short tour of Settings the first time you open it, and again from Help, Take the Settings Tour.
- The Activity Log shows each program's icon, and installing an update closes Timecrumbs for you.
- When your AI app drafts your day, it also fills the short gaps it leaves beside its drafts.
- Activities: an optional Activity beside each entry's project and phase, for billing systems that track the kind of work. Make it optional or required, and keep your own list or one for the whole firm.
- The time grid is its own setting: entries land on 6 or 5 minutes, however you show your hours.
- A short tour of the main window the first time you open Timecrumbs, again any time from Help, Take the Tour, and step-by-step guides from Help, Guides.
- Experience Trackers, for anyone working toward a license: NCARB's AXP, NCIDQ, Canada's Internship in Architecture Program, and the CLARB Record. Turn on the ones you need, choose a category for each entry (with a one-click suggestion that learns from your choices), and export a report split by employer and supervisor: numbers to copy into the program's site, a PDF for your supervisor, and a CSV. For AXP, a quiet reminder in the Inbox before hours pass NCARB's one-year window for full credit. Included in the license.
- Use Timecrumbs with your AI: connect your AI app, and it can draft your days from what Timecrumbs recorded.
- The Inbox: drafts and questions wait for you to accept, change, or answer, including notes you type for your AI. Timecrumbs fills it with its own drafts too, and they learn your categories, your meetings, and time that isn't work. The last few minutes before you step away settle themselves, listed under Settled for you with Undo.
- If your computer was on while Timecrumbs wasn't recording, the Inbox says so and shows the files and folders Windows saw you open, so you can add what you remember. Tick the lines that go together, and the entry editor opens with their times.
- Each question says what the time was: the main windows, what they were about and for how long, and what you logged just before and after. Open the time's screenshots right from the question.
- What your AI can do: it only suggests unless you let it also save what you approve. Its questions follow your How much to ask setting and are written in plain words.
- Send your confirmed time to Harvest, QuickBooks Online, Xero, or any app you reach through Zapier, Make, n8n, or Power Automate. Eleven more systems are in Beta; see the integrations.
- Your calendar sign-in is kept in Windows Credential Manager, encrypted by Windows for your account.
- Outlook calendars on work, school, and personal Microsoft accounts, and Google calendars on Google Workspace and personal Google accounts. If your firm's IT has to approve new apps, Timecrumbs gives you a link to send them.
- If a billing system's sign-in stops working, Timecrumbs tells you, and Reconnect signs you back in with your links and settings intact. An entry that couldn't be sent shows its fix, and goes as soon as it's fixed. If a billing system turns a call down, Help, Save a Support File includes a record of it for our support team.
- Total hours sit at the top of the Week Summary, so they stay in view as you scroll.
- Billed hours: round to the nearest 15 or 30 minutes, with leftover minutes carried through the week so your totals stay true.
- A daily catch-up: connect your AI app and Timecrumbs walks you through setting it up, so every weekday morning your AI drafts the day before into your inbox.
- Approve an AI draft right on the day's timeline with one click. Each draft says who made it: Timecrumbs or your AI.
- Private projects: keep your own side work off the firm's shared list and out of your billing system. Timesheet exports leave it out unless you include it.
- When you come back to your desk, the away prompt offers its best guesses, one tap each.
- A count on the tray icon, the Inbox button, and the taskbar button shows what's waiting in the inbox.
- Enter your name once, and it appears on your timesheets and reports.
- Undo: Ctrl+Z, or the Undo button in the day's header, takes back your last change, one step at a time: an entry added, edited, moved, or deleted, a draft accepted, or an Inbox answer. A new or changed entry also shows its own Undo button.
- Recording keeps going on its own. If it stops after sleep, unlocking, or a crash, it starts again within a few minutes, even with the Timecrumbs window closed.
- Stop Recording Until Tomorrow: take the rest of the day off, and recording comes back by itself the next day.
- Spell checking in your notes and in messages to your AI, with suggestions on right-click. Your own project and client names are never flagged.
